We are looking for a high-energy assistant property manager to join our team for a 240-unit property in Nashville, TN. The ideal candidate will possess exceptional customer service skills, be highly organized, and have strong leadership qualities along with being assertive, energetic, working independently, and with a diverse team.

POSITION SUMMARY: The Assistant Property Manager is responsible for supporting the property manager with all phases of the operation of the property. This includes, but is not limited to, general administration and maintenance as well as direction and control of personal and resources with the goal that the property is maintained at all times in good physical condition with a stabilized fiscal operation. Some evening and weekend hours may be required. This is a fast-paced environment requiring extensive customer service skills and prior tax credit multi-family apartment community property management experience. This position directly supports the activities of the organization by performing the following duties under the supervision of the Property Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Proactively and effectively support the property manager with property operations to ensure property occupancy goals are met.

• Assist the property manager with the financial performance of the property by overseeing rents, occupancies and expenditures.

• Adhere to all appropriate company personnel directives, accounting directives, and maintenance and purchasing directives.

• Maintain property occupancy by effectively retaining residents and successfully marketing property to attract new residents.

• Assist with the training and development of new employees as directed by supervisor.

• Guide leasing and maintenance team members as assigned by supervisor.

• Assist with maintaining accurate payroll records as required by the company and adhere to payroll policies and cutoff dates in property manager’s absence.

• Adhere to all Enfield Management policies and procedures, as well as federal fair housing laws.

Assistant Manager - Nashville 05/2023

• Assist in leasing apartments.

• Assist in the preparation and processing of leases and related forms.

• Maintain waiting list for property vacancies.

• Assist, confer with, and advise new residents on lease requirements and responsibilities.

• Conduct applicant background checks.

• Responsible for accurately processing required income certifications and recertifications, adhering to all leasing and re-leasing requirements.

• Complete necessary paperwork in a timely manner to avoid penalties.

• Assist with tenant rent collections and delinquencies, late notices, and posting rents.

• Prepare daily bank deposits when necessary.

• Purchase necessary office supplies in accordance with Enfield company policy.

• Assist with details for move-ins and move-outs, with special attention to apartment inspection check-ins and check-outs.

• Ensure that residents are provided with a clean and well-maintained community.

• Provide excellent customer service to residents and resolve any resident complaints.

• Work with the property manager to ensure that all maintenance requests are handled on an immediate basis whenever possible, and that all residents are notified if there must be a delay.

• Report accident and emergency situations to the property manager immediately and prepare the proper reports.

• Conduct required periodic apartment inspections.

• Audit lease files and adhere to lease file policy with accuracy and consistency.

• Assist with resident activities and property correspondence.

• Attend staff meetings.

• Keep the office clean, always organized, and maintain a professional demeanor with residents.

• Assist with other properties as necessary.

• Complete initial and ongoing mandated company training as required.

• Other related duties as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Knowledge of:

• Apartment community property management industry

• Fair housing laws

• LIHTC compliance requirements

• Operation of standard office machines and equipment including telephones, copiers, computers, etc.

• Spreadsheet, word processing, and presentation software including Microsoft Office 365, Excel, Word, PowerPoint

• Knowledge of and proficiency with Microsoft Teams and Zoom

• Knowledge of Realpage/Onesite property management software a plus

• Knowledge of KNOCK leasing software a plus

• Knowledge of office management systems and procedures

• Knowledge of personnel management

Qualifications/Experience:

• High School Diploma or GED required; associate or bachelor’s degree preferred

• Minimum three (3) years of apartment property leasing experience required

• Minimum two (2) years of LIHTC (Low Income Housing Tax Credit) experience required

• Minimum two (2) years of assistant property management experience preferred

• Possess a valid driver's license

• Pass a pre-employment background check

• Reliable transportation

• Strong work ethic, reliable, punctual
